The project began to take shape in August 2013, continuing with the policy of continuous improvement of the procedures developed by the Unit, by incorporating technology as a tool that facilitates access to documentation and allows efficient management.

The Student Welfare Department is the unit in charge of administering social programs emanating from MINEDUC and various internal benefits. Its objective is to prevent, mitigate and solve socioeconomic deficiencies of the student community, in order to ensure their permanence at the University. Considering the number of students that enter the institution each year and the increase in the requirements established by regulations, it has been necessary to incorporate new social workers into the Department and also the creation of the CERFYD Physical and Digital Records Center, for the adequate storage of all the socioeconomic information of male and female students.

registration center 2The work of CERFYD is directly oriented to supporting the management of the Student Welfare Department, its task being the digitization and safeguarding of socioeconomic documents that students deliver to the University workers to evaluate their condition, and thus have access to student aid offered by the Ministry of Education. It is necessary to point out that, according to current regulations, each student must provide a significant number of records that must be safeguarded for the entire duration of their degree.

As pointed out by the director of Student Affairs of the University of La Serena, Mg. Miguel Zuleta, "this project is intended to favor the management of both the social worker and the students of our University and in turn establishes greater transparency in the handling of clearly confidential information."

The first steps of this Center included the digitization of information, the hiring of a specialist professional in charge and the training of administrative staff, along with the generation of a technological management program, among other tasks.

registration center 3For her part, Patricia Astroza, coordinator of the Student Welfare Department, pointed out that ''carrying out these processes is an arduous and constant task, due to the different accreditation processes to complete the renewal or applications, which implies the massive attention of students within rigorously established schedules and deadlines. Currently, social workers are found on each of the University Campuses, assisting and guiding students; CERFYD, then, is a sign of commitment to improve the quality and transparency in the management of this Department, being an innovative project from which we expect much more."

According to what was stated by the coordinator, to date the digitization of more than 5 thousand files has already been generated, which correspond to the information provided by students for the renewal of MINEDUC benefits, developed in 2013.

It should be noted that the Information and Computing Center of the University of La Serena (CICULS) also had an active participation in the process of digitizing and archiving all the material.

The ceremony, framed in the celebration of the XXXIII institutional anniversary, was attended by university authorities, directors and officials of the new Archive Center.
